What’s changing

Gemini Audit logs are now accessible through the Reporting API (Admin SDK). This allows admins to track user activity and interactions with Gemini across Workspace app, including:
  • The action performed by the user within a Workspace application, initiated or assisted by Gemini. For example: formalizing copy, generating a background, or summarizing a conversation.
  • The specific app where Gemini inWorkspace apps was used, for example Chat, Gmail, or Docs.
  • The specific features which were used, for example “help me write”, “remove image background” or “help me organize”.
  • And more – see our API documentation for more information on the types of Gemini in Workspace activity you can query
As part of this update, this information will be available in the security investigation tool and audit investigation tool as well.

Who’s impacted

Admins

Why you’d use it

Admins can use the Reports API to analyze how their users are engaging with Gemini at scale. These valuable insights can help organizations get the most out of Gemini. Specifically:
  • Monitoring adoption and usage: Admins can track the overall use of Gemini features across the organization and within specific Workspace applications (Gmail, Docs, Slides, Sheets, Gemini app). This includes identifying the number of active Gemini users, their usage patterns per app, and the “Last Used” time stamp for each user.
  • Understanding feature utilization: The reports detail how frequently specific Gemini features like content summarization and generation are used within different applications.
  • Identifying training needs: By observing feature and app usage, admins can pinpoint areas where users might require additional training or resources to maximize their use of Gemini's capabilities.
  • Identifying power users: The reports can help identify individuals who are heavily utilizing Gemini features, potentially recognizing internal champions who can share their expertise and best practices with other users.
Further, surfacing this information in the audit and investigation tool can help admins review user activity related to Gemini, while the security and investigation tool can help admins to identify, triage, and take action on potential security and privacy issues.

What’s changing

We’re improving the granularity of Google Meet hardware Admin log events. This upgrade offers a more comprehensive and precise audit trail, enabling you to better track and understand administrative actions related to your Google Meet hardware. This increased visibility will enhance your organization's security and facilitate more effective troubleshooting.

First, the “HANGOUTS DEVICE SETTING” event category is going away and will be replaced with a new event type: “GOOGLE MEET HARDWARE”. This does not apply for “Chromebox for meetings Device Setting Change”, which will move to “APPLICATION SETTING” in a follow-up launch.

The following changes made in the Google Meet hardware Admin console will be logged as an Admin log event under “GOOGLE MEET HARDWARE”:
  • Change lifecycle state on Meet device
  • Change OU membership of Meet device
  • Change properties on Meet device
    • This includes all information found in the Admin console under Devices > Google Meet Hardware > Devices > [Device name] > Device settings
  • Perform bulk action on Meet devices
  • Perform command on Meet device

You can also view additional fields related to these new events, including:
  • Device ID
  • Resource ID(s) for Serial Number
  • Device type (will always be ‘meet’)
  • Action(s) (if applicable)
  • Setting name (if applicable)
  • And, if applicable, additional information, such as the meeting code and more.
Note that some fields are not visible in the log viewer by default; you can add additional fields using the “Manage columns” button.

In the coming weeks, you will be able to create, change, and delete application settings under “Application Settings”. All changes to settings found in the Admin console under Devices > Google Meet hardware > Settings will be audited here. We will share more details in the coming weeks.

Additional details

In the coming months, we are removing all events under the “HANGOUTS DEVICE SETTINGS” event type since the product name is obsolete, and the new events will include this information and even more data. Prior to their removal, you’ll still be able to filter for these events, however new activity will be only captured under the new “GOOGLE MEET HARDWARE” events.

 This table has more details:

New Event name

What’s changing

We’re pleased to announce the ability to label a Google Group as “Locked” is now generally available. When a group is “locked”, it heavily restricts the ability to change group attributes, such as the group name & email address) and memberships.

This is helpful when admins need to sync their groups from an external source and want to prevent things from getting out of sync or want to restrict changes to sensitive groups in general.

The Group Details page in the Admin console shows a “Locked” label on the group, with the message “You can’t update this group - it might be managed by an external identity system.”

Who’s impacted

Admins

Why it’s important

If you use third-party tools, like Entra ID, to manage group synchronization, you may encounter inconsistencies when modifications are made to these groups, like adding or removing members, for example. To help address this, we’re introducing the option to “lock” a group, which will prevent modifications within Google Workspace and help maintain synchronization with the external source.

When a group is locked, only certain admins* can modify:
  • The group name, description, email, and alias(es)
  • Group labels
  • Memberships (adding or removing members) and member restrictions
  • Membership roles
  • Delete the group
  • Set up a new membership expiry

When a group is locked, access and content moderation settings are not affected, this includes:
  • Who can post
  • Who can view members
  • Who can contact members
  • Membership removals due to an existing membership expiry
  • Access or content moderation settings

*Super Admins, Group Admins, and Group Editors with a condition that includes “Locked Groups”

Additional details

By default, the changes listed above will be restricted from end users, including group owners and managers of a locked group. If you want to also restrict some admins from making these changes in the Admin Console or APIs, you can assign them the Group Editor role with a condition that excludes locked groups.

The ability to lock or unlock a group using the “Locked” label is available to Super Admins, Group Admins, or a custom role with the “Manage Locked Label” privilege. Lock a group using the “Locked” group label in the Admin Console, or the Cloud Identity Groups API.

What’s changing

Gmail now allows users with hardware keys, such as PIV/CAC smartcards, to directly manage their digital signature and encryption certificates within Gmail settings. Prior to this update, admins needed to upload encryption keys for their users – now users can configure their own keys in Gmail, without needing an admin.

Gmail > Settings > Accounts > Encryption certificates

Additional details

While Workspace encrypts data at rest and in transit by using secure-by-design cryptographic libraries, client-side encryption ensures that you have sole control over encryption keys and access to your data. Client-side encryption ensures sensitive data in the email body and attachments are indecipherable to Google servers — you retain control over encryption keys and the identity service to access those keys. For more information, check out our original announcement and the Workspace blog

Getting started

  • Admins: In order for your users to add certificates from a hardware key, you must first enable and install the Workspace Hardware Keys application to user machines.
  • End users: Visit the Help Center to learn more about using hardware keys for encryption.

What’s changing

Today, we announced Google Workspace support for FINRA compliance, continuing our commitment to meet the unique needs of heavily regulated industry. This includes the preservation of records in a non-rewritable, non-erasable (WORM) format, including support for SEC Rule 17a-4, SEC Rule 18a-6, and CFTC §1.31.

We’re pleased to announce FINRA-compliant solutions for Google Drive and Calendar (complementing our existing FINRA-compliant features for Gmail, Chat, and Meet) that address the critical supervisory, documentation, and surveillance requirements that underpin financial regulations:

For Google Drive, super admins can now use Google Workspace’s Data Export tool and AODocs to create a FINRA-compliant archive of their Google Drive data in a Google Cloud Storage (GCS) bucket. This data can be from specific organizational units (OUs), groups, or users, and filtered by Drive labels.

When you’re using the Data Export tool, select “FINRA” as your export type

For Calendar, super admins and admins with third-party archiving privileges can enable third-party archiving on an OU or group level and specify the email address to which Calendar archives should be sent. The following events will be captured:
  • On the monitored user’s calendar: all events and their updates, including events modified by another user with the appropriate access to the monitored user's calendar
  • On other calendars that the monitored user can make changes to: all actions performed by the monitored user
When these actions are performed, an email is sent to the journaling address specified by the admin with the event data, user who performed the action, and time stamp. providing access via SMTP for a third-party service provider to archive and produce the records on demand.
Third-party archiving can be enabled in the Admin console by going to Apps > Google Workspace > Settings for Calendar > Third-party Archiving Settings

Who’s impacted

Admins

Why it’s important

These updates are critical for Google Workspace customers operating in the financial services industry on a global scale. For Calendar, archival journaling functionality supports compliance news by ensuring electronic communications are captured and preserved, meeting essential record-keeping standards. For Drive, admins can manage and securely store critical documents at scale. These solutions add to our existing FINRA-compliant features for Gmail, Chat, and Meet (when certain settings are enabled and disabled), providing global communication solutions and cutting edge productivity tools that meet the regulatory needs of customers in the financial services sector.

Additionally, we are proud to announce partnerships with several industry-leading Digital Communications Governance and Archiving (DCGA) vendors: AODocs, Mimecast, Smarsh, and Global Relay. These partners provide vital connectors for our customers, ensuring the compliant flow of Google Workspace data into their trusted archiving solutions. For more information on these partnerships and FINRA compliance for Google Workspace, visit the Workspace blog.

What’s changing

Earlier today, we announced numerous updates across Google Workspace for Education that expand feature access and further our efforts to give education customers new and powerful ways of working, teaching and learning with Gemini.

Prior to today, Gemini in Classroom was only available to customers with a Gemini Education or Gemini Education Premium add-on. Starting this week, 18+ users across all Google Workspace for Education editions will now have access to more than 30 AI-powered tools. With the help of Gemini, educators can create content and resources through one central destination in Classroom. This update is accompanied by a new admin setting that controls whether certain users in a domain have access to Gemini in Classroom.

Now, educators can get help creating first drafts of resources, based on learning objectives, with new features like:
In addition, educators can now ask Gemini to refine (modify, transform, or supplement) generated content however they want in a chat-like experience for select features. They can also assign content generated with Gemini in Classroom – after reviewing and editing it – directly to assignments in classes with the “Add to class” button. They’ll be able to select a class, which will then create an assignment in the chosen class and attach the Drive file to it.

Educators will also be able to collaborate with Gemini using starter prompts for the Gemini app that help with common tasks like:
  • Brainstorming real world examples
  • Gamifying an activity
  • Generating differentiation strategies
  • Drafting an exemplar and non-exemplar
  • Creating Depth of Knowledge (DOK) questions
For example, if you select the "Gamifying an activity” card, a pre-set prompt will be loaded into the Gemini app to help get you started. Then, you can collaborate with Gemini to continue iterating before sharing or exporting the content.

Admins and end users

Why it’s important

Educators can now use Gemini in Classroom - free of charge - for more than 30 common educator tasks, helping to give them time back to focus on the art of teaching, from supporting students more deeply to making their instructional ideas a reality.

View the most relevant search results in Gmail
Over the years, we’ve implemented updates to help you find exactly what you’re looking for with less effort when searching in Gmail. In March, we announced a smarter search feature powered by AI to quickly show users the most relevant results, and today we’re excited to extend this to businesses. Now, instead of just showing emails in chronological order based on keywords, Gmail search results will factor in elements like recency, most-clicked emails and frequent contacts. With this update, the emails you’re looking for are far more likely to be at the top of your search results — saving you valuable time and helping you find important information more easily. You can also select between “most relevant” and “most recent” results. | Rollout to Rapid Release and Scheduled Release domains is complete. | Available to Google Workspace customers, Google Workspace Individual subscribers, and users with personal Google accounts. | Visit the Help Center to learn more about the search in Gmail.

    What’s changing

Last year, we introduced multi-party approval (MPA), a security feature that requires an admin to approve certain sensitive actions initiated by another admin. Today, we’re enhancing this feature by giving admins more granular controls, specifically:
    • Admins can now select which specific settings require multi-party approval.
    • Admins can choose separate multi-party approval settings for actions that are supported via API and the admin console, such as configuring single-sign on with a third-party identity provider
    • Super admins can now delegate specific admins to approve MPA actions using the new multi-party approval role for admins.
You can configure multi-party approval on a per action basis by going to Security > Authentication > Multi-party approved settings in the Admin console

    Account > Admin Roles

    Who’s impacted

    Admins

    Why it’s important

Multi-party approval adds an extra layer of security for sensitive actions taken in the admin console by ensuring sensitive actions are not implemented in a silo and, more importantly, helps prevent unauthorized or accidental changes from being made.

We understand each customer has their own unique definition of security and what constitutes a high-risk action. By introducing more granular controls, we’re giving our customers the authority to decide what features should be subject to multi-party approvals and who has the authority to review these actions, in a way that works best for them, rather than the experience being “all or nothing”.

    Additional details

To further strengthen security around sensitive actions, admins now require both 'reviewer' and 'requester' privileges for a given action to conduct its MPA review. This ensures that the approving admin possesses the direct authority to perform the action themselves, reinforcing the integrity of the approval process and preventing approvals from individuals with inadequate underlying permissions.

    Getting started

    • Admins: This feature is available for eligible Workspace customers with two or more super admin accounts. Multi-party approval is OFF by default and can be turned on in the Admin console by going to Security > Multi-party approval settings. Visit the Help Center to learn more about multi-party approval for sensitive actions and pre-built admin roles.
    • End users: There is no end user impact or action required.

    What’s changing

In January 2025, we announced our plan to bring premium AI features directly to our Business and Enterprise offerings, helping our customers and their users boost productivity, creativity, and innovation, transforming how they work. We also stopped charging for Gemini add-ons that you may have purchased previously for your Business and Enterprise offerings after January 31, 2025.

This week, as part of a shift in our offerings, we will begin removing references to the Gemini Enterprise, Gemini Business, AI Meetings & Messages, and AI Security add-ons from the Subscriptions page within the Admin console (Menu > Billing > Subscriptions). This change will apply to customers whose Workspace edition now includes all functionality previously available with these add-ons.

For example, if you had a Workspace Business Standard or Enterprise Standard subscription and a Gemini Business add-on, the add-on is no longer needed since the applicable AI features are now included in your Workspace subscription.

Important note: There will be no disruptions in service or changes in feature availability with this change. This change will have no effect on your bill.

    Getting started

    • Admins: No action is needed – we will make these updates to the Subscriptions page automatically.
    • End users: There is no end user impact or action required.

    Rollout pace

    • This update will begin taking effect starting June 25, 2025 and may take several weeks to rollout for affected customers.

    What’s changing

Last year, we made updates to the Google Chat integration with GitHub, a cloud-based platform that enables users to store, share and collaborate with others to write code. Today, we’re excited to announce additional updates and functionality that improve upon the overall experience using the GitHub app for Google Chat.

Starting today, users will have the ability to:
    • Choose from additional controls for repository notification subscriptions, allowing users to set notifications according to their needs. For example, users can subscribe only to notifications when a deployment fails, or set notifications for Pull Requests assigned only to a particular individual.
    • Create scheduled reminders, providing a new way for teams to stay on top of open pull requests.
    • Set personal reminders to help keep track of pull requests that require review.
Users can set up scheduled reminders to stay on top of open pull requests

    What’s changing

Currently, you can utilize Gemini in Google Sheets to generate charts and valuable insights, and today we’re excited to bring AI directly into the cells of your spreadsheet with the power of AI function.

From a cell, you can now input a specific prompt describing what you would like to do and an optional data range, and Gemini can do the following:
    • Use relevant information from your spreadsheet to generate text that is tailored to your specific data.
    • Summarize information by analyzing the content of your spreadsheet and highlighting the most important parts, so you can quickly understand your data.
    • Categorize your data into meaningful groups, so you can easily detect patterns, such as user sentiment. ai functions in sheets

Here are some examples of how you’d use this feature:
    • Text generation:
      • =AI(“Write a formal ad copy for the product. Cater copy to the objective and target audience”, A2:C2
      • =AI("Create an email to the reviewer addressing specific items in their reviews.", A2:G2
    • Summarization:
      • =AI("For the customer, write a one sentence summary of their feedback.", A2:D2
      • =AI("You are the owner of a pet sitting business. Write a 2 sentence summary for the customer about their pet’s last stay. Be a little funny.", F2
    • Categorization:
      • =AI("Categorize the customer inquiry as a compliment, exchange request, or return request.",C2
      • =AI("Perform sentiment analysis on the emails sent by the customers to the barbershop.", C2)
If you want to refer to two ranges that aren’t contiguous, you can use concatenation in the prompt. Here are a few examples:
    • =AI("Write a review of the hot sauce "&A2&" using only the ingredients "&D2&" and the popularity "&E2&".", A2:D2
    • =AI("Find the major themes in the customer feedback of "&B2&" using the rating "&C2&" and comments: "&D2&".")

    Who’s impacted

    End users

    Why you’d use it

Now you can create hundreds of rows of data quickly to do things like categorize user feedback requests or write personalized emails, all without being an expert in data or spreadsheets. Regardless of your data needs, with instant access to Gemini from any cell in your Sheet, the Al function helps you get work done faster.

    Additional details

    • We currently support text-based responses for text generation, summarization, categorization, and sentiment analysis queries. While the input information is optional, we recommend using it for optimal results.
    • After generating, if an explicitly referenced cell or the prompt is updated, the cell shows an out-of-sync state, and keeps the previous output for reference.
    • To refresh a cell, you can select one or multiple cells and press “refresh and insert.”
    • You can select multiple cells with AI functions and generate outputs; however, only the first 200 selected cells with AI functions will be generated. You can wait for the generation to complete and select more cells to generate outputs.

    What's changing

There are upcoming changes to permissions in Google Groups which will be implemented starting September 15, 2025.

Currently, Google Groups has three roles: owner, manager, and member. Associated permissions for these roles, like Who can manage members and Who can view members can be configured in a group's settings. Additional group members can be assigned these permissions using custom roles. For example a group could have “who can manage members” set to “group owners” but then configure a custom role, add members to it, and add the custom role to “who can manage members.”

To reduce complexity and increase consistency across Workspace products, the following will no longer be supported in Groups:
    • Custom roles for Who can manage members and Who can view members
    • The ability to allow the Entire organization to manage members

The timeline for this change is as follows:
Starting September 15, 2025, users will no longer be able to:
    • Add new custom roles for Who can manage members and Who can view members
    • Set Who can manage members to Entire organization

    Starting January 5, 2026:
    • If a group has custom roles configured for Who can manage members and Who can view members, those custom roles will no longer apply
    • If a group has Who can manage members set to Entire organization, that setting will be updated to all members

Admins or end users can reassign users in custom roles in impacted groups to the default role that best matches their activity within the group. For example, if a group has Who can manage members set to owners and also has a custom role with three members in it, consider these options:

    • Recommended: Expand the setting for Who can manage members to owners and managers and add those three users as managers
    • Change the role of those three members to owners
    • Expand the capability to manage members to all group members

We also recommend setting Who can view members to Entire Organization to make collaboration seamless across Workspace, though if the group requires additional privacy, choose Group members.

    What’s changing

Last year, we introduced a feature that gives Google Forms creators more granular control over who can respond to their newly created forms via sharing settings. Specifically, form creators can limit response access to specific users, groups, or target audiences—similar to how file owners can restrict the sharing of Google Docs, Sheets, Slides or Sites in Drive.

In addition to being available on newly created forms, we’re excited to announce that starting today this option is now available on existing forms. As a result, form creators can upgrade existing or old forms to have more granular controls over who can respond to them.
Adding granular control options for who can respond to existing Google Forms

    Who’s impacted

    End users

    Why you’d use it

This feature is useful in any scenario where you’d like to control who can respond to a form. For example, business leaders can better collect feedback from specific organizational units and prevent the form from being responded to by other teams or organization units. Similarly, teachers can use this to ensure a quiz is only accessible to select students who receive the link.

    Getting started

    • Admins: There is no admin control for this feature.
    • End users:
      • Form creators must publish their form to enable responders to view the form or submit a response.
      • Form creators can see who has access to the form and share response access to specific users, groups, or target audiences.

      What’s changing

Following last year's announcement of form creators being able to limit Google Form response access to specific users, groups, or target audiences, we’re introducing granular admin controls for form responses.

Specifically, admins can now independently control two distinct settings:
      • Whether users in their domain can respond to forms created externally.
      • Whether users in their domain can share forms with external recipients.

        • The Forms specific admin override will be ON by default for external sharing of forms created in the domain and for responding to forms created externally.
        • There are two distinct override settings to control if forms created inside a domain can be shared externally for responses and whether users inside the domain can respond to external forms. These overrides can be applied to organizational units, similar to other Drive sharing policies.
        • To control whether form owners can get responses from users outside their domain, go to the Admin console > Drive and Docs settings > “Form responses > “Allow forms owned by users in [your organization] to accept responses from anyone with the link outside [your organization], even if external sharing isn't allowed.”
        • To control whether users in the domain are permitted to respond to forms created outside of the domain, go to the Admin console > Drive and Docs settings > “Form responses” > “Allow users in [your organization] to submit responses to forms from users or shared drives. outside of [your organization], even if receiving external files isn't allowed.”
          • If ON, users in the domain will continue to be able to respond to external forms.
          • If OFF, the admin setting to control whether external Drive documents can be shared into the domain will apply to Forms and form responders in your domain could be blocked from responding to external forms
        • Visit the Help Center to learn more about managing external sharing for your organization.
      • End users: There is no end user setting for this feature.

Mitigating prompt injection attacks with a layered defense strategy
This week, we shared more details on how we protect Gemini and mitigate threats from malicious actors utilizing indirect prompt injection attacks to exfiltrate user data or execute other rogue actions. Google takes a layered security approach, with security measures designed for each stage of the prompt lifecycle. From Gemini 2.5 model hardening, to purpose-built machine learning (ML) models detecting malicious instructions, to system-level safeguards, we are meaningfully elevating the difficulty, expense, and complexity faced by an attacker.

Our model training with adversarial data significantly enhanced our defenses against indirect prompt injection attacks in Gemini 2.5 models. This inherent model resilience is augmented with additional defenses that we built directly into Gemini, including:
      • Prompt injection content classifiers
      • Security thought reinforcement
      • Markdown sanitization and suspicious URL redaction
      • User confirmation framework
      • End-user security mitigation notifications
This layered approach to our security strategy strengthens the overall security framework for Gemini – throughout the prompt lifecycle and across diverse attack techniques.
